When you or a staff member leaves a position, the profile needs to be removed from the OneJA Platform. This article explains how removal works, how access is handled, and what happens to a former member’s data and content.
How a Profile Gets Removed
Removing a profile is a manual action taken by the local manager. This can happen in one of two ways:
- Directly by the manager, as part of the standard offboarding process.
- Through the 90-day review. If the manager hasn’t already removed the profile, the system automatically prompts local managers to update their staff list every 90 days. The manager then removes anyone who has left.
💡 If you know someone who left but is still listed: Contact your local admin manager and ask them to update the list and remove the staff member.
Access Is Cut Off Automatically
Even if the staff list hasn’t been updated yet, access doesn’t remain open.
Because logging in to the OneJA portal is only possible through JAID, access to the platform is automatically blocked the moment a JA email becomes inactive. In other words, once the organizational email is deactivated, the former member can no longer log in, regardless of whether their profile has been manually removed.
What Happens to Data and Content
Once a staff member leaves the organization:
- Personal data and profile details are automatically wiped and cannot be retrieved.
- Content created by the former member remains available, but it is labeled “Authored by former staff.”
- If someone visits that former member’s profile, the platform will show the replacement that the organization has assigned to that role.
